Role Overview:
The Document Management Specialist will play a pivotal role in ensuring the seamless management and quality of project documentation.
Key Responsibilities:
- Develop and maintain a comprehensive document management plan and strategy.
- Ensure the timely and efficient management of project documents using the Electronic Document Management System (EDMS).
- Enforce the use of the official EDMS to secure the quality of project documents.
- Proactively implement and communicate document management requirements, responsibilities, tools, and processes.
- Standardise and enhance documentation quality processes across the project.
- Collaborate with Package Managers to maintain document flow processes.
- Provide ongoing support and coaching on project EDMS.
- Conduct monthly and quarterly reviews of the master document register.
- Ensure document management requirements are included in tenders and contracts.
- Facilitate the document review process, ensuring all comments are addressed in line with contractual requirements.
- Support the transfer of documentation to the execution team, ensuring completeness.
- Identify and resolve sub-standard documentation and non-conformances.
- Maintain continuous cooperation with other WorkStreams, Packages, and Units.
- Manage SharePoint, ensuring correct access and structure for efficient use by the Project PMO.
Skills and Experience Required:
- Relevant education or equivalent experience in document management.
- Minimum of 3 years’ experience as a project documentation controller or in QA/QC roles within engineering or construction projects.
- Proven ability with Electronic Document Management Systems (EDMS).
- Strong organisational and communication skills.
- Ability to implement best practices and lessons learned for document management, tools, and processes.
- Experience in managing SharePoint and producing relevant reports.
