Job Overview

The role of Senior Coordinator is pivotal in providing high-quality administrative, coordination, and operational support to the Director’s Office. Reporting directly to the Manager, Director’s Office, this position ensures the smooth and efficient delivery of daily activities and priorities. The role is designed to strengthen the overall effectiveness of the Director’s Office by offering proactive support across scheduling, logistics, communications, and administrative coordination.

The Senior Coordinator will play a crucial role in maintaining seamless operations, ensuring effective prioritisation and follow-through, and enabling continuity of support across the office. This position is integral to the business, supporting the Manager in maintaining organised workflows and ensuring that administrative activities are completed accurately and within required timelines.

Key Responsibilities

• Provide proactive day-to-day administrative support to the Director in alignment with the Manager, Director’s Office.
• Assist in managing calendars, scheduling meetings, and coordinating appointments.
• Help maintain organised workflows, trackers, and follow-up actions to support effective time management.
• Support preparation and coordination of daily priorities, briefing materials, and schedules.
• Coordinate internal and external meetings, including scheduling, room bookings, and logistics arrangements.
• Prepare agendas, meeting packs, presentations, and supporting materials in advance.
• Support travel planning and logistics, including flights, accommodation, transport, and visa coordination.
• Act as a professional point of contact for routine enquiries and communications.
• Prepare and maintain briefing notes, reports, high-level presentations, and supporting documentation.
• Ensure documents are accurate, well-formatted, and prepared ahead of deadlines.

Qualifications

• Bachelor’s degree in business administration or related field preferred.
• 8+ years’ experience in administrative, coordination, or office support roles.
• Experience in a corporate or fast-paced environment.
• Experience supporting senior stakeholders and cross-functional teams.

Skills

• Strong organisational and coordination skills with the ability to manage multiple priorities.
• Strong written and verbal communication skills.
• Ability to prioritise workload and meet deadlines.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
• High attention to detail and accuracy.
• Strong interpersonal and stakeholder management skills.
• Ability to handle confidential information professionally.
