Our client is looking for a Personal Assistant to provide comprehensive administrative, organizational, and communication support to two Directors within the Operations function. You will play a key role in ensuring the effective management of daily business activities, enabling efficient collaboration and supporting operational excellence across the department.
Key Responsibilities
- Independently manage the secretariat function for the Directors of Operations, including complex calendar management, inbox management, and prioritization of business matters.
- Plan, organize, and coordinate internal and external meetings, workshops, and events, including virtual and in-person meetings, as well as international and national business travel.
- Coordinate travel arrangements and itineraries, manage travel expenses, and support related administrative processes.
- Handle procurement-related activities, including ordering equipment (e.g., IT and PPE), processing invoices, and supporting purchasing activities where required.
- Support the preparation, coordination, and quality assurance of presentations, reports, decision papers, and other business documentation.
- Provide administrative and coordination support for smaller projects and assist with project-related activities, including tracking actions, timelines, and invoice/payment processes.
- Act as a key point of contact for stakeholders, maintaining effective communication and ensuring smooth collaboration across teams and functions.
- Support the Directors of Operations with ad hoc tasks, special assignments, and department-related initiatives as required.
About You
- Successfully completed commercial vocational training or equivalent qualification, combined with significant professional experience in executive or personal assistance and administrative support roles.
- Proven experience supporting senior leaders within an international business environment.
- Strong administrative, organizational, and coordination skills, with the ability to manage multiple priorities simultaneously and effectively.
- Excellent verbal and written communication skills, with the confidence to interact professionally with stakeholders at all levels of the organization.
- High degree of attention to detail and strong organizational skills, complemented by advanced proficiency in MS Office and SAP.
- Demonstrated ability to work independently, exercise sound judgment, maintain confidentiality, and adapt effectively within a dynamic environment.
- Strong interpersonal skills, a proactive mindset, and a service-oriented approach.
