Day to day document control across portfolio projects
- Conduct day to day document control activities on assigned projects in the Client Portfolio. For example:
- Facilitation and follow up of document reviews
- Managing transmittals
- Document number creation/validation
- Document status reporting
- QA/QC of documents and enforcing procedures
- Responding to general DC queries from project team members and contractors
- Document Control Process Management:
- Act as the process owner for document control procedures.
- Maintain and update documentation standards, including numbering systems, templates, and procedures.
- Ensure compliance with internal and external documentation requirements.
- SharePoint Administration:
- Set up and maintain external SharePoint sites for project documentation.
- Manage user access and permissions, ensuring secure and appropriate access control.
- Maintain accurate user lists and site configurations.
- Electronic Document Management System (EDMS):
- Support the rollout and ongoing use of the EDMS (Omega 365) transitioning from Aconex on some projects.
- Create and assign document numbers in line with project protocols.
- Provide training and support to project team members and contractors on document control processes and tools.
- Conduct initial quality control (QC) checks on contractor-submitted documents.
- Facilitate document reviews and approvals.
