Project Administrator

Location: London

The Project Administrator will join a rapidly growing team of (currently) 65 and provide administrative support in a number of areas but principally assisting the project’s senior team. You will work closely with the Project Director’s Executive Assistant/Office Manager. Functionally, the role reports to the head of Project Controls. There may also be opportunities to extend the role, for example, working with the document control or procurement team, depending on interests and experience.

Main responsibilities
• Secretarial & Administrative Support: Provide support to the project management team and Resource and Recruitment Manager, including scheduling meetings, arranging interviews, managing calendars, and handling formal correspondence, along with other ad-hoc tasks
• Communication: Facilitate effective communication within the project team and with external partners.
• Meeting Coordination: Schedule, prepare for, and document project meetings, ensuring that minutes and action items are distributed.
• Vendor Liaison: Manage relationships with external vendors and service providers as needed;
• Support Events: Assist in the coordination of project events, workshops, and team-building activities.

Minimum requirements:
• Administrative Experience: Previous experience in a secretarial or administrative role is preferred.
• Technically proficient. Proficiency in standard office software and tools (e.g., Microsoft Office Suite, particularly Word, Excel and PowerPoint,SharePoint, etc.). Some knowledge of other office systems such as electronic document management would be an advantage but is not essential.
• Communication: Excellent written and verbal communication skills for professional interactions with team members and external contacts.
